How to Redact a Bank Statement (PDF and Paper)

Sharing your bank statement with a landlord, lender, or visa office doesn't mean handing over every sensitive detail. Here's exactly what to redact, what to keep, and the safest tools to do it.

How to Redact a Bank Statement
Short Answer
Redact your full account number, routing number, and SSN, but keep your name, bank, dates, balances, and relevant transactions visible. Use a true PDF redaction tool or the print-and-scan method for paper, because simple black boxes can leave the original text recoverable.

What to redact

The goal of redaction is to remove information that could enable identity theft or financial fraud — without removing information the recipient actually needs to verify your finances.

Redact thisWhy it's risky
Full account numberAllows direct access or ACH fraud if combined with routing number
Routing numberTogether with account number, enables unauthorized withdrawals
Social Security Number (SSN)Appears on some statements — never share
Online banking username/password hintsSecurity questions or hints sometimes printed on statements
Other account numbers listedLinked savings, investment, or loan accounts you're not sharing
Irrelevant personal transactionsMedical payments, donations, or other sensitive entries not relevant to the request

What to leave visible

Keep this visibleWhy it's needed
Bank name and logoVerifies which institution issued the statement
Statement period (date range)Confirms how recent the document is
Your full name and addressRequired to verify identity and proof of address
Opening and closing balanceShows financial position — usually the main thing being reviewed
Transaction dates and amountsDemonstrates income deposits, spending patterns, or cash flow
Last 4 digits of account numberUsually safe to leave — insufficient for fraud on its own

How to redact a PDF bank statement

The critical rule: true redaction permanently removes the underlying text data. Simply placing a black rectangle over text in a PDF editor does not — the text still exists in the file and can be revealed by selecting and copying it.

Adobe Acrobat ProBest option — paid
  1. Open your PDF in Adobe Acrobat Pro.
  2. Go to Tools → Redact.
  3. Select 'Mark for Redaction' and highlight the text or area to remove.
  4. Click 'Apply Redactions' — this permanently deletes the underlying data.
  5. Save the file. The redacted areas will appear as black boxes.
PDF24 (online, free)Free — use with caution for sensitive docs
  1. Go to PDF24's redact tool in your browser.
  2. Upload your PDF bank statement.
  3. Draw boxes over the areas you want to remove.
  4. Apply redaction and download. PDF24 flattens the file, removing underlying text.
  5. Delete the file from their servers after download if the option is available.
Mac Preview — print-to-image methodFree, no upload needed
  1. Open the PDF in Preview.
  2. Use Markup → Rectangle tool with a solid black fill to cover sensitive text.
  3. Export as PNG (File → Export).
  4. Re-import the PNG into a new PDF: File → Print → Save as PDF.
  5. The resulting PDF is image-based, so the covered text data is gone.
Do NOT do this

Don't use Microsoft Word, Google Docs, Canva, or basic image editors to "cover" text with a black shape. The original text layer remains in the file. Anyone can uncover it by copying and pasting the document's text, or by removing the shape layer.

How to redact a paper bank statement

1
Use a thick permanent marker
A black Sharpie chisel-tip works best. Apply two overlapping layers over the text you want to remove. Hold the paper up to a bright light source to verify the text is not visible through the ink.
2
Photocopy or scan — don't submit the original
Scan or photocopy the redacted page and submit that copy. This ensures the ink cannot be lifted or chemically removed from the original document, and the copy will show clean black boxes.
3
Check all pages
Account numbers and routing numbers often appear in headers, footers, or on every page. Check every page you're submitting and redact consistently.

What to redact by situation

SituationRedactKeep visible
Landlord / rental applicationFull account number, routing number, SSN, unrelated personal transactionsName, address, bank name, balances, income deposits, statement dates
Mortgage or loan applicationSSN, routing number, linked account numbers not being disclosedEverything else — lenders need a complete picture of income and cash flow
Visa applicationRouting number, full account number (last 4 is fine), SSNName, bank name, balances, statement period, transaction history
Divorce / court proceedingsVery little — courts may require unredacted statements. Check with your attorney. All financial data; partial redaction may be treated as non-compliance
Sharing with an accountantNothing required — accountants need full statementsEverything

Frequently asked questions

Is it legal to redact a bank statement?
Yes — redacting personal information you're not required to disclose is legal. You have a right to protect sensitive data like your full account number and routing number when sharing statements with third parties like landlords or employers. However, redacting information that was specifically requested (such as in a court order) may constitute obstruction — consult an attorney in that case.
Can a landlord reject my application if I redact my bank statement?
Technically, yes — a landlord can reject any application for any lawful reason. However, most landlords accept partial redaction of account numbers as long as balances, income deposits, and your name remain visible. If a landlord insists on an unredacted statement, you can offer alternatives like a letter from your bank or employment verification instead.
What's the safest way to redact a PDF bank statement?
Use software with true redaction (not just black boxes drawn on top). Adobe Acrobat Pro's built-in Redact tool permanently removes the underlying data. Free alternatives include PDF24 or Smallpdf redaction tools. Avoid using image editors that only cover text visually — the original text remains in the file and can be recovered.
Can I just use a black marker on a printed statement?
Yes — for paper statements, a thick permanent marker (Sharpie) works well. Apply two overlapping layers and hold it up to light to confirm the text is not visible through the ink. Then photocopy or scan the redacted page rather than submitting the original, so the marks cannot be lifted.
Do I need to redact every page of the statement?
Redact consistently across all pages you're submitting. If your account number appears in the header of every page, redact it on every page. Inconsistent redaction looks suspicious and may lead to rejection.
Is it safe to upload my bank statement to an online PDF redaction tool?
Use caution. Only use reputable services with clear privacy policies that state files are deleted after processing. For highly sensitive statements, prefer desktop software (Adobe Acrobat, LibreOffice Draw) or the print-and-scan method to avoid uploading the file to a third party.
How do I redact bank statements on iPhone or Android?
On iPhone, open the PDF in Markup (tap the share icon → Markup), use the black pen tool at full opacity to cover text, then save. On Android, use Adobe Acrobat mobile app (free) or Xodo. Be aware that markup-only tools may not remove the underlying text — for legal purposes, use proper redaction software.
