Why verify the statement, not just the pay stub
Pay stubs are the most commonly forged document in rental applications — a template and ten minutes is all it takes. A bank statement is harder to fake convincingly, because every line has to reconcile: thefraud checksverify running-balance math line by line, so an inflated deposit or a deleted overdraft breaks the document mathematically.
Income padding is the subtler problem. An applicant transfers $3,000 from a friend two weeks before applying, and the statement “shows” the income. Theincome analysisseparates recurring salary-pattern deposits from one-off transfers, so you compare the lease against income that actually repeats.
And when the decision is made, export the categorized transactions toCSV or Excel— a consistent, documented screening record for every applicant, which is also your best protection if a decision is ever challenged.
How do landlords verify income
Start with the statement, not the pay stub. A pay stub states what an employer says it pays. A bank statement shows what actually landed in the account, which is the number the rent has to come out of. Ask for both when you can, and treat the statement as the one that settles a disagreement between them.
Cross-check three things. Recurring deposits against the income stated on the application, rent-sized payments leaving on schedule at the previous address, and NSF or overdraft events during the period. A padded one-off transfer two weeks before applying fails the first check; a tenant who missed rent twice fails the second.
Confirm the file was not edited. Every other check assumes the document is real. Running-balance arithmetic, font consistency, and PDF metadata catch most edited statements, because an inflated deposit or a deleted overdraft breaks the math line by line. This is where rental income verification software earns its place over reading the PDF yourself.
Ask for three months. One month can be arranged. Three months exposes irregular pay, seasonal income, and a balance that was topped up for the application. Ask every applicant for the same period, so the comparison and the decision record stay consistent.
When the bank-link verifier cannot connect
Any bank, any statement PDF. Bank-link verifiers such as Snappt or Plaid Income depend on a connector existing for the applicant's institution. When the bank is small, regional, or a card-only account such as American Express, the connection fails and the application stalls. Here the input is the PDF the applicant downloads from their own online banking, so an unsupported bank is not a dead end and there is always a manual path.

They hand over a document they already have, which is the least-privilege option for a person who does not want a third party holding read access to their finances. Many applicants refuse the link step on those grounds alone, and refusing it should not read as something to hide.
